Submission Guidelines for Authors

Categories of papers and poster

There will be three categories of presentation to the technical conference :
- Refereed Papers
- Non-Refereed Papers
- Posters

The Refereed papers will, in addition to being accepted for the conference, subsequently enter a full assessment, revision and publication process managed by the ICA Review Committee. The full text of the refereed papers must be submitted by the 28th of January 2009, in order for this Committee to evaluate and suggest revisions during 2009. The intention is for Refereed papers to be of a standard suitable for the ICA to publish in allied journals.

The format requirements for Refereed and Non- Refereed papers are the same. However, in the case of non-refereed papers authors can submit their abstracts separately from the full paper (January 16th and 10th July deadlines, respectively). As an alternative to the papers, authors may present their work as a poster to be displayed during the whole conference period in the panel exhibitions area. They are limited to two poster abstract submissions each. All authors, when submitting abstracts, should indicate which submission category they consider appropriate for their work.

Submissions for the conference

The abstracts intended for the conference and its proceedings should follow the format and be evaluated by the Scientific Sub Committee of ICC 2009 LOC. One person may be author or co-author of two different papers, whether as principal author or as secondary author, but may not participate in three or more submissions.

The on-line Submissions System, managed by the Scientific Sub Committee, is linked to the conferencwe web site at the page "Conference" - "Submissions System", the initials of its name in Spanish are SGSC. The SGSC offer a form for filling in the contact details, loading up the abstract, determining the type of work (refereed, non-refereed or poster) and the conference theme. The abstracts and full papers normally enter the system as a Microsoft Word file. Once the submission and registration as author have been initiated, an ID code is created and sent back for the author to use if he/she wishes to enter again, subsequently submit more material or modify details in the record.

The principal author can name other persons as coauthors of the paper or poster. The principal author is the one who will attend the conference in person to present the work; although naturally the co-authors are also invited to attend the conference too.

Calendar and program

The most important dates for the work to be submitted and presented in the conference are as follows:

. Second Call for Papers: November 2008
. Deadline for receiving abstracts (in all categories) and the full papers in the 'Refereed' category on the 16th of January 2009
. Notification of acceptance of the papers: 30th of April 2009
. Deadline for receiving full papers in the non-refereed category: 10th of July 2009
. Deadline for author-speakers to pay their conference registration: 30th August 2009

LOC guarantees that the papers accepted will be published in the conference proceedings (on CD) if the full text has been received and at least one of the authors of the paper or poster (the one due to give the oral presentation) has paid the corresponding registration for attending conference by the 30th of August.

Durng the conference, each speaker will be able to present his/her paper, orally, for 15 minutes scheduled within one of the technical sessions, aided by a slide show on screen if this is judged convenient. Each Technical Session will last for 90 minutes, with 15 minutes for each of the 5 presentations. In the last 15 minutes of each session, the 5 authors will be able to answer questions from the attendees.

All the technical pieces of work (in the two paper categories, also the poster abstracts) will be published on the CD-ROM that constitutes the conference proceedings. Additionally the refereed papers will be published in the "International Yearbook" or other similar technical journal associated with the ICA in the period following the conference.

General aspects of the scientific submissions

The abstracts and the full papers must be in English or French, the two official languages of the ICA. However, the two languages for oral presentation of the paper in the conference technical sessions are English and Spanish; simultaneous translation between English and Spanish will be available for session attendees.

The copyright for the paper, whether Refereed or Non- Refereed, will be transferred to ICA. This means that ICA has the right to re-publish the paper, with or without changes, in printed or digital media. As this is 'nonexclusive copyright', however, the author has the full right to use the content of Non-Refereed papers in other works.

It is important to state that all work presented must be original and previously unpublished. In the hypothetical case of the LOC Scientific Sub committee detecting a submission to ICC 2009 that has previously been published or distributed at another event or through a different media (previous to the date of the conference), whether by the same author or by others, or, if it is, in essence, a reproduction of existing material without constituting anything new and original, it will be excluded.
